Principal

Principal – shared enrolments only

A shared enrolment applies to the practice of a student attending two or more schools for a period of time and ensures that a student has only one unique student registration number. ERN contains the procedures for shared enrolment status of students accessing specialist educational settings (PDF 15.51KB).

Where a shared enrolment is involved, the principal confirms that the student remains enrolled at the home school as the census enrolment.


Principal – Integration Funding Support applications only

This section is included on the principal verification page when the author chooses ‘Provision requested is for Integration Funding Support at another school” in the access request set up section.

Principal – verifying an access request

The principal is responsible for verifying an access request before submitting it to the local student support and specialist programs team.

The principal has read only access to an access request except for the Principal’s verification page. This page becomes read/write once the school participants have completed and sign dated all sections. The access request summary icon is available on the home page and at the top of every section of an access request. The icon will turn from red to green when all sections have been completed and the application is ready for the principal to verify.

After receiving an email that an access request has been validated, the principal:

  • reviews all sections:
    • ensures that each section is accurate and has the correct attachments (if required)
    • declines, if necessary, any sections that requires further information or clarification
  • accepts all sections by selecting the appropriate accept checkboxes.

Changing a participant

When the access request has a status of open or draft the author can change a participant on the access request set up page. When the access request has a status of validated or validated open the principal or author can update participants on the My access request page by selecting the people icon to the left of the student’s SRN.

Principal – declining a section

The principal can decline as many sections as necessary in order to provide a coherent and consistent access request.

Note - the principal may need to uncheck accept and then check decline if a section has previously been accepted.

Sections can be declined more than once without waiting for the access request to be re-validated. If a section has sub-sections and only one of these sub-sections was declined, the principal will need to wait for the status to change to validated before declining another sub-section within that section.

If a different support document is needed or a role needs to be reassigned, the principal must decline the first section called access request set up on their verification page. The school author will then be able to make changes to the access request set up section.

When a section is declined, the program automatically:

  • creates a text box for each declined section so that the principal can record what needs to be changed
  • generates an email to the school participant that includes the principal’s comments
  • re-sets the access request’s status to validated-open
  • makes that section read/write so that the school participant can amend it.

The school participant must then make the changes and sign date the section.

To review the principal’s comments click in the decline box again. Comments are deleted once the section is accepted.

Principal or delegate – Obtaining parent/carer's comment and signature

Once the access request has been validated and verified, the principal (or delegate) must provide a full copy to, and discuss the application with, the parent/carer.

The parent/carer endorses the access request by writing comments (if desired) and signing the hardcopy which is kept at the school.

The Principal then sign dates the online version on behalf of the parent/carer and adds any comments.

Principal – submitting to the local student support and specialist programs team

To endorse the access request, the principal:

  1. writes a comment and sign dates it
  2. ticks the box indicating that a hard copy (that includes all attachments and the parent/carer’s comments and signature) is stored securely at the school
  3. clicks <Save> or <Save and Exit> and then <Submit to local school services>.

When the Principal clicks on <Submit to local school services> the program automatically:

  • compiles the Access Request into a ‘zip’ file that includes PDFs of the application and any attachments
  • sends it electronically to the local student support and specialist support services team's part of the access request system with a receipt emailed to the principal
  • changes the application’s status to submitted.
School participants cannot make changes to an access request after it is Submitted and while it is In progress.
