Enrol a student into a Support Class – QRG
This quick reference guide shows you how to enrol a student into a Support Class.
Background
The process to register a student into a support class is undertaken by specific Learning and Wellbeing personnel who have been provided advice from placement panels.
Learning and Wellbeing personnel will be responsible for:
- the registration of all students into SCAS placements
- managing and administering support class registrations
- transferring a student into a different scholastic year, e.g. if a student has been placed in the incorrect scholastic year
- updating the Factor of Need (FoN) where applicable.
School ERN users are not able to register a student into a SCAS Enrolment Type.
When students arrive at school, they have a Registered (Offered) status.  The schools will then validate, risk assess and accept the application to enrol for each student registered at the school following advice from the principal.
Before you start
Make sure you have the notification email for an incoming student registration in a support class at your school.
When the placement panel identifies a student for proposed placement at your school, an automated email will be generated from ERN and sent to your school’s email address. The email will provide you with details of the student to be enrolled at your school. These details include:
- Student Name
- Student SRN
- Registration Enrolment Type
- Scholastic Year
- Intended Start Date.
Contact the parent/carer and provide an Application to Enrol in a NSW Government School form.
After the parent/carer returns the completed application form to the school with mandatory and supporting documentation, school staff can progress the enrolment in ERN by following the listed steps.
System to use
Log into the Staff portal and select ERN.

1. Select ERN School Enrolment and then select Student Enquiry from the main menu.
2. Enter the student details and then select the Go button.
If the student placement is for the proceeding year, change the Calendar Year from the drop down list.
The student registration record is displayed in ERN.
3. Select the student record from the list.
The Student Details window is displayed.
Note: A student who is registered at your school is also found in Place Management with the status of Registered (Offered).
4. Select the Modify Full Registration icon.
5. Update the student details from the completed enrolment application form to ERN.
6. Navigate to the Principal's certification section in page 13 and select an appropriate option for the Enrol Now field.

| Select - No | Applied to Enrol (Risk Assessed). It means the status progresses in Placement management when required. |
| Select - Yes | Enrolled (In Attendance) |
Note:
- Alternatively, you can go to Place Management and change the registration status to Enrolled (In Attendance).
- In accordance with school policy a student should not be set to Enrolled (In Attendance) until their first day in attendance at school.
- You can confirm that the student is enrolled by identifying the student registration through Place Management.
- If the student has a dual enrolment identified by a blue flag, you will not be able to progress their enrolment to Enrolled (In Attendance) until the other school has marked them as 'Left' in ERN.
