Extension of a suspension in ERN
This guide details how to extend a suspension record in ERN.
Background
Before a suspension can be extended, the principal will need to decide on how to proceed, in consultation/approval with the Director, ÌÇÐÄvlog¹ÙÍøal Leadership where necessary (see section 3.5.4 of the Student Behaviour Procedures).
Where a principal originally issues a suspension with fewer days than the maximum consecutive school days for a suspension under section 3.5.1, they can increase the length of the suspension up to those maximum days if required without it being considered an extension under section 3.5.4 of the Student Behaviour Procedures.
If there is insufficient time to implement supports for the student or safety risks cannot be addressed within the maximum consecutive school days for a suspension under section 3.5.1 of the Student Behaviour Procedures, the principal may extend the suspension for up to five additional school days following consultation with the Director, ÌÇÐÄvlog¹ÙÍøal Leadership. This would extend the suspension to a total of:
- 6 to 10 school days for students in Kindergarten to Year 2
- 11 to 15 school days for students in Year 3 to Year 12.
Note: All student information used has been manufactured and does not relate to any real student.
Before you start
- Principal, School Admin Manager and/or delegate has given access in AMU to create and edit suspension records in ERN
- Locate and have available the details of the student for whom the incident is being created.
- Login to ERN
Find student in ERN
1. Once you have logged into ERN, expand the search panel from the ERN homepage.
2. Click ‘Behaviour and Suspension’ option from the left-hand side panel
3. Select ‘Behaviour Suspension Search’ tab
4. Enter the student's details. You can search for a student by their SRN, family name, and or date of birth. Or you can click ‘Suspension Options’ for more search criteria.
5. Scroll down and select the correct student from the ‘Search Results’ below
6. Select the suspension record that requires extending and scroll down
7. If a suspension extension is within the maximum number of days (K-2 has 5 days maximum, years 3-12 has 10 days maximum) then ‘Duration’ can be edited and updated with Principal approval. Then click ‘Save’
8. If a suspension extension is beyond the maximum number of days, then a new suspension, with DEL approval, will need to be created.
1. Select the Suspension record that requires an extension and click ‘Add Extension'
2. Complete the details in the fields provided, with particular attention to those marked with an * as they are mandatory fields.
i. If there is an 'Immediate and significant risks to health, safety and wellbeing for students', select this checkbox to override the need for a current ‘Negative – Formal Caution to Suspend’
ii. If approval of extension has been sort, select the checkbox ‘DEL Approval for total duration obtained'
iii. Select the applicable Attending Days.
iv. Select the ‘Start Date’ by clicking on the calendar icon. This should be the same as the end date from the original suspension that is being extended.
v. Enter the ‘Return to school planning meeting date’. Enter the ‘Return to school planning meeting outcome’ from the dropdown menu.
Note: If the planning meeting has not taken place yet, select ‘Not Required’ as the outcome.
vi. Select the ‘Duration’ i.e. number of days for the suspension (max days for K-2 is 5 days, for years 3-12 is 10 days. These are consecutive days only). The ‘Planned End Date’ will automatically be created.
vii. Enter a ‘Description’ if required
viii. Enter ‘Immediate threat details’ in the field box if required.
ix. Enter the ‘Return to school planning meeting outcome’ from the dropdown menu.
Select ‘Save’. The new record will now appear under the Suspensions tab, connected to the original behaviour incident.
Note: This process will need to be repeated each time a suspension extension is required.
