Maintain Emergency Contacts - QRG

Create, delete, and modify Emergency Contact details for a student in ERN.

Background

Emergency Contacts are nominated by the Students Parent/Carer allowing the school an alternate contact in the case of illness or emergency when the Parent/Carer is not available. Changes to a Students Emergency Contacts should be provided in writing. The Contact Priority for each Emergency Contact relates to the order in which they are contacted by the school.

System to use

Log in to the Staff Portal and select ERN.

Detailed instructions

1. Search for the student using the Student Enquiry option.

Enter the student's Family Name and Given Name and then select Go.

2. Open the student record.

Select the correct student from the displayed matching student selection.

Tip: If there is only one matching student record, the student details are displayed on the screen. If there are multiple matches, select the required student from the Matching Students section.

3. Select the emergency contact icon.

All emergency contacts for the student are displayed.

4. Review all emergency contact details and take the necessary action.

a. Select the Create button.

b. Enter the emergency contact details, including priority and relationship to the student.

c. If the student has siblings, select each sibling name in the pop-up displayed to duplicate the emergency contact record.

d. Select the Save & Exit button.

a. Select the existing emergency contact to modify.

b. Update the emergency contact details, including phone number, priority, and relationship to the student.

c. Select the Save & Exit button.

Note: The Emergency Contact record will be modified for all siblings.

a. Select the existing emergency contact to delete.

b. Select the Delete button.

Note: The deleted emergency contact does not update a siblings record.  Search and delete emergency contact records individually for each sibling.
