Manage Student Status – QRG

This quick reference guide shows you how to manage student details and modify the student status.

Background

You can modify the status of a student in various scenarios.

System to use

Log into the Staff portal and select ERN.

Share student details

1. Select ERN School Enrolment from the menu.

2. Select Place Management > Registration Offers from the menu.

3. Select the people icon against the required Scholastic year.

4. Select the check box against the student name and then select the Share button.

You can select multiple students.

5. Select the magnifying glass against the School field.

6. Enter the first word of the school name and then select the search button.

A list of schools is displayed.

7. Select the name of the school you wish to share the student with.

8. Select the appropriate school Calendar Year and Enrolment type from the drop down list.

9. Select the Get offers button.

The offers available for the selected student are displayed.

10. Select the radio button against the relevant record, and then select the Share and Exit button.

A pop up window is displayed.

11. Select the OK button on the pop up window.

12. Select the blue flag next to the student’s name.

The following screen is displayed:

The student is shared successfully.

Change the status of a student

1. Select ERN School Enrolment from the menu.

2. Select Place Management > Registration Offers from the menu.

3. Select the people icon against the required Scholastic year.

4. Select the check box against the required student record and then select the Change status button.

You can select multiple students.

5. Select an appropriate value from the New registration status drop down list.

New registration status Use this when

Enrolled (Leaving)

A student is leaving in the near future. Set up a Leaving date so that the student status is changed automatically on the selected date.
Left A student has already left the school. Select a past date (the student's last date) in the Leaving date field.
Left (Deceased) A student passed away. Select a past date (date of death) in the Leaving date field.
Left (Expelled) A student has been expelled from the school. Select the Leaving date and a Dossier. The student can never come back to your school, but can enrol in another school.
Left (Enrolment Destination Unknown) Enter the enrolment destination unknown only at the direction of the principal.

6. Populate all the fields and then scroll to the bottom of the screen and select the the Save and exit button.

A pop up window is displayed.

7. Select the OK button on the pop up window.

The following message is displayed on the screen:

Adjust Student Registration Information

1. Select ERN School Enrolment from the menu.

2. Select Place Management > Registration Offers from the menu.

3. Select the people icon against the required Scholastic year.

4. Select the appropriate student name by clicking on the students row.

5. Change the Actual start date.

6. Select the Save and exit button.
