Register a sibling – QRG

This quick reference guide shows you how to register a new student who already has a sibling in the school system.

Background

The school has the option to enable registration of a new student who already has a sibling in the school system. This sibling does not have to be at the same school, as long as you can search and locate the sibling, the common data can be utilised in the new registration.

The Create Sibling option can be used only if the new student is living with the sibling or their main family or parent/carer/s are the same.

System to use

Log into the Staff portal and select ERN.

Detailed instructions

1. Select ERN School Enrolment > Registration from the main menu.

2. Enter the search criteria to locate the currently enrolled student and then select the Go button.

Tip: If there is only one matching student record, the student details will be displayed on the screen.

The student records are displayed according to the provided search criteria

3. Review the search results and then Select the Create Sibling button.

4. Populate the new students details in Sibling Details and Registration Offering Details.

Field Description
Enrolment Type Select the type required if available on the schools offering list.
Scholastic Year Select the appropriate scholastic year.
Intended start date Enter the start date.
Registration status Select the Registered (Interested) status from the drop down list (this option will allow minimal data to be collected rather than a full data entry).

5. Select the Register This Student At My School button.

The Student Personal details screen is displayed with the data from the previous registration pre populated in the rest of the registration form.

Note: The registration is now available to progress and the registration status selected will depend on the
school’s offerings and availability of places. Options are:

  • Applied to enrol (Incomplete) – when a complete Application to Enrol form is to be entered. This status will change to Enrolled (Risk Assessed) when all data is entered and the application is accepted by the Principal.
  • Registered (Interested) – this is a quick registration where minimal data is entered.
  • Registered (Offered) – where registration is offered but the parent must advise if the position is to be taken.
  • Registered (Standby) – where a student is placed on standby.

6. Update the registration form as required using the Next button to progress through the form, the select save and exit.

7. A message will display verifying the student has been successfully updated.
