Run Merge Report – QRG
This quick reference guide shows you how to run the Merge Report and identify duplicate families.
Background
The Merge Report is crucial to identify and manage duplicate parent records. We recommend that you run this report twice a year to effectively manage student family records and maintain ERN as the source of truth.
System to use
Log into the Staff portal and select ERN.

1. Select ERN School Enrolment and then select Reports from the main menu.
2. Select Formatted Reports > Merge Report.
3. Select the Family Merge Report option from the dropdown list.
4. Enter appropriate details in the relevant fields.
| Field name | Description |
|---|---|
| School Name | If you work at multiple schools, search for the correct school name using the magnifying glass icon. |
| Calendar Year | Select the correct year. The report can be run for the future students as well. |
| Scholastic Year | Select a scholastic year. It reduces the size of the report. |
| Match Percentage | Leave it as default: 80%. |
| Report Name | Enter a report name. If left blank it will auto generate with the report name. |
| Run Report | Select the timing. |
| Report Format | Select a format for the report. |
5. (Optional) Select the Save Criteria button.
Note: Before selecting Schedule Report button, for frequently run reports, you can save the report criteria using the Save Criteria button. To retrieve the saved report criteria in the future, select the Load Criteria button.
6. Select the Schedule Report button.
The report is generated and the completed reports are held in My Reports.
7. Select My Reports from the main menu.
8. Select the Download link to open or save the file.
Note: The report is displayed with the first student name and the percentage of the matching parents. You can perform a search for those students in the ERN School Enrolment > Registration option from menu.
