Search a student group by staff – QRG

This quick reference guide shows you how to search a student group offering such as Roll Call, by using the Staff field in ERN.

Background

There are 2 ways to search for staff under the Student Group Offers tab in ERN:

  • search staff from an existing school list
  • search staff not in your school list by using the DoE HR list of staff.

This quick reference guides shows you how to use both options. You can view and print a list from the Student Group Offers tab.

System to use

Log in to the Staff portal and select ERN.

1. Select ERN School Enrolment option from the menu.

2. Select Place Management and then select Student Group Offers tab from the menu.

3. Select the appropriate filter criteria from the drop down lists.

Tip: It is best to select Scholastic Year and Activity Type to reduce your report outcome.

4. Select the magnifying glass next to the Staff field.

A list of all staff in the school is displayed.

Select from either of the following options to search for staff from your existing school list or for staff not in your school list.

Enter the staff member's name in the search fields and select the Search button.

Note: Alternatively, you can select the staff member's name from the displayed list under Results.

Select the staff member from the results.

The current window closes and you will return to the Student Group Offers search page.

Note: Only one staff member can be selected at a time.

If the staff name is NOT listed, you need to add the employee to the ERN staff list.

Select the Add employee to ERN staff list button.

The Staff Details search window is displayed.

Select the magnifying glass alongside the Search employee in the HR staff list field.

This allows you to search for new staff from the DoE HR staff list.

Enter the Given name, Family name and the Employee ID in the relevant search fields.

Note: It is recommended that you search by the Employee ID to reduce the search results. You can also search using Given name and Family name.

Select the Search button.

Search results are displayed. Confirm the details are correct for the staff member.

Select the staff member name to add that staff member to your school list.

All information is auto populated in the Staff Detail window and the Validated check box is ticked.

Select the Save and Exit button.

Staff details are saved and you are returned to the Search Staff window.

You can search and select the new staff member from the list.

The staff member selected is now displayed in the Staff field in the Student Group Offers tab.

5. Select the Go button.

6. Review the results and then select the People icon against the required record.

The student records are listed in the Activity type, for example, Roll Class. Select the Excel icon to save the list as a spreadsheet.
