Updating Student Address – QRG
This guide shows you how to change a student's address in ERN.
Background
When your school receives formal notification of a student's change of address, you can change the address in ERN.
Note that for accuracy of a student's address history, you should create a new address. However, you can modify a record to correct data entry errors such as spelling error.
There are 2 types of addresses being refreshed into the 3rd Party vendor data set:
- addresses belonging to the Main Family
- addresses belonging to the Other Parent/Carer
Main family addresses
In the main family, there are 2 addresses being refreshed into the 3rd Party vendor data set they are are - Family Correspondence Address with the highest priority, and - Family Residential Address with the highest priority
Note: the addresses created for Mother or Father will not be refreshed into the 3rd Party vendor data set.
Other Parent/Carer family addresses
In the other parent/carer family, only 1 address is being refreshed into the 3rd Party vendor data set, i.e. the family address with the highest priority. It could be - Family Correspondence Address, or - Family Residential Address, or - Family Business Address. Likewise, the address created for Mother or Father will not be refreshed into the 3rd Party vendor data set.
It is always the family addresses being refreshed into the 3rd Party vendor data set for Main Family and for the Other Parent/Carer.
System to use
Log in to the staff portal and select ERN.

Detailed instructions
1. Search for the student using the Student Enquiry option.
Enter the student's Family Name and Given Name and then select Go.
2. Open the student record.
Select the correct student from the displayed matching student selection.
3. Select the address details icon to display all addresses.
All addresses associated with the family and parent/carer are displayed.
4. Select the appropriate values in the Family/Parent/Carer and Address Type drop-down lists, and then select the Create button.
5. Enter the new address details.
Tip: You can manually enter the address or use the Address Search field to narrow the search.
6. Select the appropriate date in the Valid From Date field and then select the Verify Detail Address button.
If no matches are found for the entered address, a popup screen displays.
If the entered address is correct, select the Accept as it is button or select an address from the list displayed.
7. Select Yes or No in the In Area drop-down list.
8. If you've selected No for In Area, select the Save & Exit button, and if you've selected Yes, attach the address evidence.
a. Select the Evidence icon.
b. Select appropriate values in the Evidence Category and Family Address drop-down lists, and then select the Create button.
c. In the Save Evidence Details section, select appropriate values in the Evidence Type, Verified Status and the Date Sighted drop-down lists.
d. Select the Save & Exit button.
The Address is now changed with evidence attached.
The address has been successfully updated.
