How to check and link an SRN

When processing applications, you need to check and link the application to a Student Registration Number (SRN) or create a new SRN.

If the student is new to the NSW public school system, you will need to create an SRN. If the student already attends a NSW public school, you need to link the student to their existing SRN. If the student has an enrolled sibling, you must follow these steps carefully to ensure the ERN family tree is updated correctly.

Please note: Screen captures below show fictitious examples only.

1. Search for an SRN by clicking Check from the student details view.

2. A list of possible matches showing data from ERN will appear. Click the check box if you find the matching student.

3. Click Link SRN.

4. If the student is new to the NSW public school system, click Create as new student.

5. Click create SRN.

Important note: Create sibling feature

When siblings are enrolled in NSW public schools, their records are linked to their family tree in ERN. If a sibling is listed on an enrolment application, you can match them using the Online Enrolment System.

Before using the Create sibling feature:

  1. Go to ERN registration and search for the sibling.
  2. Ensure that the parents/carers of the listed sibling are the same as the new student you are enrolling.
  3. If the siblings have different parents/carers (ie for half siblings or step siblings) DO NOT use the Create sibling feature.
  4. Click Create new student without ERN sibling (shown below).
  5. Once the application has been sent to ERN, go to the ERN family tree and join the siblings using the add another parent option.

1. If the enrolling student is entering the NSW public school system for the first time, click Create as new student.

2. Click Find sibling.

3. The closest matches to the sibling will appear. Confirm that the siblings have the same parents/carers.

4. Click the correct student from the list.

5. Click Create sibling SRN.

6. If the parent/carer details and full residential address match, click Confirm.

7. Click OK.

Please remember: It is important that before linking to a sibling, you must first ensure that the enrolling student has the same parents/carers and is living at same address as the listed sibling.

8. If the parent/carer details and/or full residential address do not match (error highlighted in red), you must click Create new student SRN. Once the new student SRN is created, it can be matched to an existing family tree in ERN.
