How to navigate the OoA school interface

The purpose of this guide is to provide instructions on how to navigate the Out-of-Area (OoA) applications tab in the online enrolment school interface (SI). School users can access the online enrolment SI via a link in the ERN menu. Principals must have given staff access to ERN>Online Enrolment via AMU before they can view the SI.

Please note: all examples are created with fake student data. No real student data is displayed.

Out-of-area applications tab - list view

There are many features in the list view to help schools manage applications:

  1. If SASS work for more than one school, they can switch between schools using the search bar at the top.
  2. The cog icon will take users to the 'online enrolment settings' - here schools can configure the settings for OoA applications and the information displayed to parents.
  3. SASS can click on the question mark icon in the top-right-hand corner to locate quick reference guides and an EDConnect enquiry form
  4. Schools can click on the drop-down menu to change the type of applications they are viewing. The drop-down menu will have the options: pending applications; processed applications or out-of-area applications.
  5. SASS can refine the list of applications using any combination of filters. Filters include: status; scholastic year; siblings; and start date.
  6. SASS can use the 'Download' button to download selected PDF applications
  7. SASS can click any column to sort the applications (i.e. in order of the most recent application, or by the number of enrolled siblings)

Out-of-area application - detailed view

Once SASS click on an application, they will be taken to the detailed view. Here SASS can use several features including:

  1. Workflow statuses - SASS can change the status of an application to let other staff know that it is in progress.
    Workflow statuses include: New; Viewed; In Review; Shortlisted; Interview Required; and Waitlisted.
  2. Application history - this section can be expanded to show the workflow history of the application. It will capture each time the status of the application changed, including which staff member made the change.
  3. Offer, Decline or Withdraw - use these buttons to action the OoA application once an outcome has been decided.
  4. The system will capture the last team member to make a change to the application.
  5. SASS can collapse and expand each section using the arrows to the righthand side of each section.
  6. The 'siblings' section will capture the details of enrolled siblings to enable SASS to easily check family information

  1. The considerations section is at the bottom. When expanded this section will display all of the criteria that a parent has selected in the digital OoA form.
  2. If parents have uploaded supporting documents, SASS will be able to click on 'view' to open the documents. When SASS download the application, the system will create a zip file that contains a pdf copy of the application as well as the supporting documents.
    Note: document upload is only available for the 'medical reasons' criteria at this time.


Changing the status of an OoA application

  1. Once an application has been actioned, the update will appear in the application history, including any comments or documents that were uploaded.
  2. If the application was offered or declined (not withdrawn) SASS will be able to return to 'Change Status' if required. This may be due to an appeal or change in decision.
