How to block prefill for online enrolment applications

Block or unblock prefilled information to support duty of care to students

The purpose of this guide is to provide instructions on when and how to block prefill for online enrolment applications made using Enrolment Hub.

Note: Prefilled enrolment applications are only available for schools using Enrolment Hub.

What is block prefill for online enrolment?

When applied, the block prevents ERN information displaying to parents/carers in an online application.

Why block prefilled data during online enrolment?

Schools asked for a method to provide additional security for student details, and information about their family when a parent/carer chooses to complete an online enrolment application.

When the block is in place parents/carers can still proceed with an online enrolment application.

When to block prefilled enrolment applications

Schools can block prefilled online enrolment applications, under Principal authority, in any of the following situations.

  • NSW police or Department of Communities and Justice confirm there are reasonable grounds to believe a parent poses a risk of harm to the other parent or a child
  • a student under the age of 18 has left home, is living independently and has asked for their new address to be confidential
  • a student aged 18 or above requests their information is kept confidential

If the principal is unsure about blocking access they should engage with Legal Services.

Note: If a court order is recorded in ERN, the block prefill function is not available and prefill is already blocked for all parent/carers.

How to block access to prefill for enrolment applications

1. Log into ERN School Enrolment

2. Search using the name of the child

3. Click on family relationships button

4. Choose the appropriate family member from the list

5. Scroll to the bottom of the page to the heading Block access prefill for enrolments

6. Click on the dropdown box titled Block prefill online forms and click Yes

7. A reason for blocking access is required. In the text box titled Reason for change to block, add a brief comment explaining the reason

8. Click the Save & Exit

Note: If the text box titled Reason for change to block is left blank an error message will be displayed on screen.

Note: When the block is turned on, all parent/carers residing with the student will no longer have prefill access.

When to unblock prefilled enrolment applications?

If the school has been notified that circumstances have changed, the block prefill form functionality can be lifted.

The decision to lift the block should be authorised by the Principal, and only when a parent/carer/student provides written confirmation and supporting documentation that circumstances have changed.

Some examples of supporting documentation below

  • providing an updated/amended court order
  • providing a final court order

How to unblock access

To unblock prefill online enrolment applications

1. Click on the dropdown box titled Block prefill online forms and click No

2 .In the text box titled Reason for change to block, add a comment about the reason for unblocking and detail the written confirmation and/or supporting documentation provided.

3. Click the Save & Exit button

Note: if the text box titled Reason for change to block is left blank an error message will be displayed on screen.

Court order in place

If an active court order is linked to a child in ERN the drop down button will be shaded grey and the yes/no option will be unable to be chosen.

Please note: this will only apply to parent/carers who resides with the child.

The following screen will appear.
