Parent accepts a higher choice offer or declines a place
Please note: Screen captures to follow show fictitious examples only.
The Online Enrolment System allows you to manage selective high school applications when a parent/carer accepts a higher choice offer or declines a place at your school.
This QRG provides the steps you take when a parent/carer accepts a selective high school offer at your school then:
- Declines the offer or accepts a higher choice offer prior to submitting an enrolment application.
- Submits an enrolment application online that is not yet processed by your school, then they decline the offer or accept a higher choice offer.
- Submits an enrolment application online that your school processes and sends to ERN, then they decline the offer or accept a higher choice offer.
- Submits a paper application, then declines the offer or accepts a higher choice offer.
Please note the process changes depending on if the the application has been processed and sent to ERN, please see detail below.
If status is showing as Declined and Auto Retracted
If you see declined and auto retracted in the selective high school offers view, that means the parent/carer has declined or accepted a higher choice offer but has not submitted an application to your school.
No action is required.
The offer will move to the bottom of the selective high school offers list.
For applications submitted but not sent to ERN
If you see submitted in red with an exclamation mark, that means the parent/carer has declined or accepted a higher choice offer after submitting an application to your school.
1. To manage the application, click on the student’s name.
2. This will open the offer details. Click go to enrolment application.
3. Click withdraw (it does not matter if the SRN is linked or unlinked).
4. Click the check box if you wish to email the parent/carer to advise the application has been withdrawn.
5. Confirm the withdrawal.
The enrolment application will move to the Enrolment application processed tab and the status will be updated to Withdrawn.

For application submitted, processed and sent to ERN
If you see submitted in red with an exclamation mark, that means the parent/carer has declined or accepted a higher choice offer after submitting an application to your school.
1. To manage the application, click on the student’s name.
2. This will open the offer details. Click Go to enrolment application.
3. Click ‘Withdraw name (SRN 12345678) enrolment in ERN’.
The Online Enrolment System connects to ERN to withdraw the application.
4. Click the check box if you wish to email the parent/carer to advise the application has been withdrawn.
5. Confirm the withdrawal.
The enrolment application will move to the Enrolment applications processed tab and the status will be updated to Withdrawn.
If the student was Enrolled ‘In attendance’ in ERN or left the school, their OES status will be updated to Invalid.

Submitted by paper
If a you see submitted by paper in red with an exclamation mark, that means the parent/carer accepted an offer then submitted a paper application to your school. They then accepted a higher choice offer or declined the offer.
1. Click on the student’s name.
You will be taken to the enrolment application. Go to ERN and withdraw the student’s application.
2. Return to this page and click mark enrolment application as ‘withdrawn’.
3. Click Mark as withdrawn.
