How to process out-of-area enrolment applications

In the Online Enrolment System (OES), there is a 2-step process for out-of-area applications:

  1. Parent/carers submit an out-of-area application (similar to a Year 7 expression of interest). Schools receive the application in the Out-of-area applications page where they assess if they are able to offer a place.
  2. If a place is offered, the parent/carer submits an enrolment application that schools process in the Enrolment applications page.

Please note: Screen captures below show fictitious examples only.

1. To open OES, go to ERN and click Online Enrolment from the menu on the left-hand side of the screen.

2. The OES Dashboard will appear. Click Out-of-area applications

3. On the Out-of-area applications page, any siblings and/or other considerations will be visible as part of each application. Click the student’s name to review their application in detail.

Please note: You can view applications that have already been processed by clicking the Processed tab.

4. You will be taken to the student details view. Click on each row to assess the information.

5. Use the relevant button to offer a place, decline or withdraw the application.

6. After you take action (Offer, Decline or Withdraw) a confirmation dialog box will appear. Click the check box if you would like to send an email to the parent/carer. Then use the drop down boxes to choose the criteria that supported you to make the decision and add any optional comments or supporting documents if required

7. Click the relevant button to confirm the action. The example below shows making an offer. If you make an offer, the parent/carer will receive an email with a link to complete the enrolment application.

8. If the parent/carer accepts the offer and submits the enrolment application, you will receive it in the Enrolment applications page. It will appear as an out-of-area application type. Click the student’s name to review their application in detail.

9. You will be taken to the student details view. Click check to see if the student has an existing SRN. If the SRN is already linked, please move to step 12.

Please note: This step may be skipped if a parent/carer has verified their identity with Service NSW when starting the application.

10. If the student has previously attended a NSW public school, you will be able to link them to their existing SRN. A list of possible matches showing data from ERN will appear. Select the matching student.

If the student is enrolling in a NSW public school for the first time, please move to step 12.

11. Click Link SRN.

12. If the student does not have an existing SRN, click Create as new student. If you have linked the SRN, please move to step 14.

13. Click Create SRN.

14. Any remaining actions will appear with a red exclamation mark. Follow the prompts to resolve any issues. If information supplied conflicts with data held in ERN, please contact the parent/carer to resolve.

15. Once any issues have been resolved, the Send to ERN button will be enabled. Click Send to ERN.

16. Click Send and lock.

This creates or updates the student’s record in ERN and is the last step to process an application in the OES.
